We handle enquiries. We don't handle clients.
The moment someone becomes your client rather than an enquiry, their information belongs in your own systems. Ours isn't built to hold it, and that's deliberate.
The categories above cover every practice we work with. Here's what each looks like in practice.
Passport scans, visa histories, VEVO checks, character documents and decision records never enter our systems, at any stage. If a client sends a document by mistake, it's deleted and we tell you it happened.
Matter details, case notes, evidence and anything covered by privilege stay entirely in your practice management software. Our system has no field that could hold them.
Treatment plans, radiographs, clinical notes and health histories live in your practice software, not ours. What we hold is a name, a number, and an appointment time.
Patient photographs, consultation notes, health histories and consent records never touch our systems. There's no image storage and no clinical fields anywhere in what we build.
If your practice works in an area we haven't listed, the same rule applies: whatever your profession requires you to keep confidential is a category, not a listed example. Ask us directly if you're unsure whether something belongs in our system, and the answer will be no.
The difference matters. A promise can be broken by a staff member on a busy afternoon. A design decision can't.
The platform we build on is hosted in the United States. We tell you that in writing before you sign anything.
Because we only hold enquiry-stage information, what's involved is contact details and booking history. If your professional obligations require Australian data residency for particular information, that information should never enter our systems in the first place, and our systems are built so it can't.
Your enquiry data is exported to you as a CSV file within five business days of the engagement ending, and removed from our systems within 30 days. Every contact, every conversation, every booking. Leaving doesn't cost you your data.
You stay responsible for your clients' information in your own systems, and for holding the consents required to message any contact list you give us. We'll tell you what we think good practice looks like, but we're not your compliance adviser.
