This policy explains how ARQASystems (ABN 17 325 073 826) handles personal information. We're based in Sydney, New South Wales, and we build and run automated client intake systems for service businesses.
We handle personal information in two distinct roles, and the difference matters:
For the second group, our client decides what happens to that information and instructs us. We act on their instructions and don't use their contacts for any purpose of our own.
Name, business name, email address, phone number, website address, and anything you tell us in a message field. If you request an after-hours audit, we also record what the audit measured: timestamps, whether calls were answered, and how long responses took.
Contact details and enquiry information given by people contacting our clients. Typically name, mobile number, email address, the general nature of the enquiry, and booking times.
Basic technical information such as IP address, browser type, device type, and which pages were visited.
We don't seek, collect or store sensitive information as defined in the Privacy Act 1988 (Cth). The systems we build are configured without file upload fields, call recording, or case-note fields.
We recognise that in some industries the fact of an enquiry can itself reveal something sensitive. We treat all enquiry data on that basis and limit what our systems are capable of capturing in the first place. Case files, legal notes, medical records and trust accounting stay inside our clients' own back-office systems.
We don't sell personal information. We don't share, trade or rent contact lists to anyone for marketing.
If you request an audit, you authorise us to contact your business's publicly listed phone number and submit an enquiry through your public website, to measure how quickly and how well enquiries are answered.
We don't record telephone calls at any point.
If someone answers, we say who we are and end the call. We record timestamps and outcomes only.
A cookie is a small text file stored on your device that helps a website work or measure how it's used.
Required for the site to function: keeping forms working, maintaining security, and preventing automated abuse. These can't be switched off without breaking the site.
Where enabled, we use analytics to understand which pages get read and how people arrive. This tells us whether the site is doing its job. It doesn't identify you personally to us.
Our website platform and our bot-protection provider may set their own cookies. We don't control these. Bot protection is provided by Cloudflare, which processes limited technical information to tell real visitors from automated traffic.
Most browsers let you refuse or delete cookies through their settings. Blocking essential cookies may stop parts of this site working. We don't currently run advertising or retargeting cookies. If that changes, we'll update this page and ask for your consent before any such cookie is set.
We use third-party platforms to deliver our services, including customer relationship and messaging platforms hosted outside Australia, primarily in the United States. Payments are processed by Stripe.
By providing your information you consent to it being disclosed to these overseas providers. We take reasonable steps to make sure they handle it properly, but overseas recipients may not be subject to the Australian Privacy Principles, and you may not be able to seek redress under the Privacy Act for how they handle it.
We use access controls, multi-factor authentication, and separate credentials for each client environment. Client systems are isolated from one another, so no client can see another's data. No system is completely secure and we can't guarantee absolute security, but we've built ours to hold as little as possible in the first place.
You can ask for a copy of the personal information we hold about you, ask us to correct it, or ask us to delete it. Email [email protected] and we'll respond within 30 days.
If you're unhappy with how we've handled your information, tell us first and we'll try to sort it out. If we don't resolve it to your satisfaction, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au.
If you enquired with one of our clients and want your details corrected or removed, contact that business directly.
They hold the relationship and decide what happens to their records. We'll help them action it, but we can't change or delete their data without their instruction.
We may update this policy from time to time. The current version is always on this page, with the date it was last changed at the top.
